The Document Control Clerk is responsible for setting up and maintaining hard copy and electronic documents for a successful turnaround. This role is very heavy in filing and data entry in various software programs. This Document Control Clerk must be detail oriented and have excellent communication and computer skills.

 

A day in the life consists of…

  • Daily tracking and documenting of planning progress
  • Updating progress in software programs
  • Filing completed work packages (hard copy and electronic)
  • Sitting in on meetings to scribe, then send out memos to the team
  • Generating weekly and monthly progress reports and filing
  • Maintaining supplies for turnaround planning
  • Communicate with turnaround management and planners
  • Receiving in CMMS approved material receipts
  • Leading up to the execution and during execution, long hours (12-14 per day) will be a requirement

Basic requirements for the role include…

    • Communication Skills
      • Communicate with planners, schedulers, TA management, and leadership
      • Effective electronic communication is required
      • Possess tactful communication so that processes are followed
      • Communicate in group settings with various teams and team members
      • Produce written communication including technical writing and reports
    • Knowledge
      • Advanced computer skills
        • MS Excel basic, pivot tables, calculations, tables, and data entry
        • MS Word basic, tables, generating and publishing reports, meeting minutes
        • Data entry into CMMS system (MAXIMO)
        • Data entry into Access databases
        • Outlook email, calendar, OneNote
        • Update progress in TA management tool. (NAVITRACK)
      • Organization skills
        • Hard copy filing, including set up and sustaining
        • Electronic filing, including set up and sustaining
        • Track and report progress of planning
        • Ability to document an organized, disciplined process
  • Soft Skills
    • Flexibility; Daily routine can change rapidly
    • Detail oriented; Accurate reviews for errors
    • Discipline to work within the process
    • Strong will to get things right the first time; Self-driven
    • Ability to multi-task in sometimes stressful environments
