Job Description

Encadria Staffing Solutions is assisting our partner, KBX Rail, who is searching for a Compliance Data Entry Specialist. This is a temporary role expected to last through March 2026. The schedule is Monday - Friday, 8AM – 4:30PM.
What you will do in this role
Review documents for accuracy and regulatory requirements, identifying and correcting data errors, and collaborating with internal and external parties to gather information. This role also involves interpretation and entering data into the system, ensuring data quality, and maintaining strict confidentiality and security protocols. 
Key responsibilities

  • Data entry and maintenance: Accurately input, update, and maintain records in KBX systems, spreadsheets, and other systems.
  • Data quality and accuracy: Review documents and data for completeness, accuracy, and adherence to regulatory requirements.
  • Error identification: Proactively identify and correct errors and follow up on missing or outdated documentation.
  • Reporting and auditing: Assist in preparing reports and audit documentation to support internal and external audits.
  • Collaboration: Communicate with internal departments, such as maintenance, operations, and finance to clarify information and resolve discrepancies.
  • Confidentiality and security: Maintain the confidentiality of sensitive data and adhere to all data security and privacy protocols.
  • Process improvement: Help identify opportunities to improve data entry processes and ensure best practices are followed. 

Required skills and qualifications

  • Technical skills: Proficiency with data entry, databases, and Microsoft Office suite, with strong typing skills.
  • Attention to detail: Exceptional precision and an ability to spot errors are crucial.
  • Analytical skills: The ability to analyze information to identify patterns and ensure compliance.
  • Communication skills: Strong written and verbal communication skills for interacting with different teams.
  • Organization: The ability to manage and organize data files.
  • Problem-solving: A proactive and analytical approach to solving problems that arise with data.  Ability to think outside the box and look for alternative solutions to streamline processes.
